The HR Coordinator assists the HR Department in various HR administration tasks, projects, and overall upkeep of the department. Responsible for the day-to-day general HR operations for the department including the following: staff recruiting and hiring, onboarding, HRIS Administration, performance review coordination, HR inquiries, training and development coordination and special projects. This position will report to the Director of Human Resources and work closely with the HR team.


*This role requires 1-2 days onsite in Walnut Creek, CA and other days can be remote. Must live within a commutable distance to Walnut Creek, CA. 


What you will do:

  • Recruitment Support 
  • Responsible for supporting the recruitment process by performing a variety of administrative tasks that facilitate the smooth coordination of the hiring process.
  • Assists in scheduling interviews, maintaining candidate records, coordinating communication with candidates, and providing overall support to the recruiting team.
  • Maintain and update the applicant tracking system (ATS) with candidate information and recruitment statuses.
  • Post job openings on various job boards, company website, and social media platforms.
  • Monitor and manage job postings to ensure accuracy and visibility.
  • Coordinate all aspects of the onboarding process for new hires, externs and ICs in healthcare, including coordination of background checks, License&Credentialing,I-9s,HRIS entry, weekly New Hire Orientation (NHO), creating and maintaining personnel files.  
  • Manage employee status changes within the HRIS system.
  • Facilitate the offboarding process for departing employees ensuring final documentation and pay meets required deadlines and compliance.
  • Manage the HR inbox, responding to employee inquiries and requests in a timely and professional manner and escalate to proper HR team member when needed.
  • Assist with the performance review process by initiating performance reviews in ADP and following up with supervisors to ensure timely completion.
  • Audit time and attendance records for accuracy and compliance.
  • Coordinate and facilitate required annual compliance processes for employees.
  • Manage/Edit/Send Docusign forms and process completed docusigns for file retention.  Following up with leadership for completion.
  • Manage various HR tasks not limited to processing mail, communicating with PEO on VOE, Disability forms, Unemployment and other HR mail related items. 
  • Additional responsibilities may be assigned based on business needs, team priorities, or organizational changes.
  • Travel may be needed on occasion.
  • Provides coverage for HR Team during absences and/or when necessary.

Qualifications:

   Education:

  • Minimum AA in business administration, human resources, or another related field or minimum 4 years of relevant experience. 
  • 3 plus years of full-time administrative experience in an office setting required. Education may take the place of experience.

 Requirements: 

  • Intermediate Word, Excel, Outlook and Teams skills required.
  • Working knowledge of Federal and California state laws and regulations 
  • Experience working within an HRIS system is required.
  • Experience with Applicant Tracking Systems (ATS)is required.
  • Experience with Docusign is a plus.
  • Ability to work in a fast paced, quickly changing environment.
  • Experience to demonstrate a high level of attention to detail and organizational skills with the ability to coordinate a large amount of data from different sources accurately while meeting required deadlines.
  • Customer service is an essential aspect to this position. Must have strong oral and written communication skills and respond to requests in a timely and professional manner. 
  • Strong team player and ability to work independently   

Compensation Range: 

$32.00 to $36.00 Hourly
